Gmail Tips And Tricks

Hello friends as you all know that Gmail is very famous to all other mail service providers because it provide us better security,whenever somebody send you fake mail it notify you that this mail is fake.There are lots of tips and tricks that are hidden in Gmail,today i will tell you about these tips and tricks.After using these tricks you can play easily play with Gmail,i am not joking its my promise  guys.

1)Gmail doesn't recognize dots as characters within a username.It means if your e-mail address is username@gmail.com, then user.name@gmail.com and u.s.e.r.n.a.m.e@gmail.com are also yours.




2)If you send messages and immediately archive the conversation, you can save yourself  by adding a Send & Archive button.For this you have to follow the steps .

             a)Open gmail account
             b)Go to Setting
             c)Go to Labs
             d)Enable Send and Archive button
             e)click save changes


3)Gmail doesn't offer traditional e-mail aliases(other name), but you can add a "+" to the end of your username to create it. For example, messages sent to username+alias@gmail.com is sent to username@gmail.com. This can be useful for setting up filters or figuring out who's selling your e-mail address to spammers. 





4)You cannot attach an executable file like a normal file. Gmail will display the error message – “FILE is an executable file. For security reasons, Gmail does not allow you to send this type of file”.
To overcome this issue, do the following as a sender of the email.

  a)Rename the file without an exe extension,
  b)Compress it with any compression utility and then attach it.

Now it will get attached, and uploaded successfully. The receiver of the email should uncompress the attachment and rename it again with exe extension.




5)If you want to search something in Gmail than you can easily search by simply type the syntax in Gmail search box.
Syntax is:
                     “Searchtext in:foldername”


For example, following will search for keyword logic in the Sent Folder:-logic in:sent



6)If you want to search specific type of messages read it carefully.

Types of messages in Gmail
  • Starred - messages which are Considered as an important
  • Unread - messages which are unread
  • read - messages which are read
  • chat - Conversation messages
“is:starred”, “is:unread”, “is:read” and “is:chat” will search for the messages that are starred, unread, read and chat messages respectively.

For Example, the following will give you the list of starred messages in Inbox folder.
in:inbox is:starred




7)Gmail provides feature to import the contacts from Yahoo, Orkut and Outlook. You can also import contacts from CSV(Comma Seperated Value)file. CSV file should be formatted as a table and must include a header that defines the fields in your table. Gmail accepts many common header fields (Firstname, Lastname, email address, Phone etc.)
To import conatcts from CSV file please follow the steps.

                         a)Open Gmail Accoun
                 b)Click on “Contacts” link
                 c)Click on “Import” tab
                 d) Browse the CSV file which you want to import
                 e)Click on “Import”  



8)If you have multiple Gmail accounts than you can manage those account in your one account,means you can send mail by other account by being present in the current account.

Follow the steps below to send emails from other accounts. i.e From x@gmail.com, you can send emails as y@gmail.com

  1. Login to x@gmail.com, go to Settings -> Accounts Tab -> “Send Email As” Section.
  2. Add y@gmail.com account here and confirm that this is your email by following the instruction.
  3. Now you can start sending emails as y@gmail.com from x@gmail.com


9) If you have a doubt that somebody else is accessing and hacking into your Gmail account, Gmail provides ‘Last Account Activity’ feature that shows five recent activities in your Gmail account.
Click on ‘Details’ link in Last account activity line at the bottom of your Gmail page.
Recent activity information includes, Access Type (Browser or from some mobile device etc), IP address from which the access was made and Date/Time of access.

You can even sign-out all the other sessions except current session by clicking ‘Sign out all other sessions’



10)You can change Gmail feel and look using themes,for this follow the steps.

                      a)Open Gmail Account
                      b)Click Setting link
                      c)Click Themes tab
                      d)Change theme



11)You can also create a labels in Gmail,for this follow the steps.
                             a)Open Gmail Account
                             b)Click on “Settings”
                             c)Enter label name in “Label” part and Click on “Create”

  Assigning Labels to an Email

  • Select the email message or conversation
  • Drag and drop it to the particular label to which you want to move. When moving you will see a tip message like “Moving 1 Conversation”.




  • 12)When you chat with someone then add Emphasis in chat by read the below points.

    a)To bold a word, asterisk it like this: *learning*

    b)To add italics, just underscore before and after the word like this: _learning_

    c)And to strike a word through, add hyphens before and after like this: -learning-




    13)Gmail handily saves your chat history for conversations with other Gmail users and makes them searchable too (use the search term “is:chat” to look for a keyword term). But there might be times you want to chat and not have it recorded.
    To chat “off the record,” open a chat window with whom you want to talk, click on the “Actions” drop down menu and select “Go off the record.” The person you’re chatting with will be notified of this change.



    14)You can access your Gmail account when you’re not connected(offline) to the web. You can search, read and compose e-mails when you’re not in a Wi-Fi zone, and Gmail will simply auto-update (and send/receive any new mail) when you next reconnect.But this work if you have Google Chrome browser.Follow the steps to activate it.

                               a)Open Gmail Account
                               b)Click Setting link
                               c)Click Offline tab
                               d)Instal Gmail Offline



    15)Gmail offers a free Notifier as a quick download that will alert you with a visual pop-up and audio cue when new mail has arrived, even if you don’t have Gmail open in a browser.

    What Is Email Protocol?





    Hello friends as you know that email protocol is a method by which a communication channel is established between two computers and email is transferred between them. When an email is transferred, a mail server and two computers are involved. One computer sends the mail and the other one receives it. The mail server stores the mail and lets the receiving device access it and download it if needed. There are four different mail protocols.




    1)POP3 (Post Office Protocol 3):-

    This is a simple, standardized protocol that allows users to access their mailboxes on the Internet and download messages to their computers. The simple design of POP3 allows casual email users who have a temporary Internet connection (dial-up access) to access emails. They can read their emails, draft new emails or reply to emails while they are offline, and can send these emails when they are back online. Yahoo! Mail (mail.yahoo.com) is an example of a mail server that uses POP3 protocol.




    2)IMAP (Internet Message Access Protocol):-

    This is a standard protocol used for email transfer by users. Like POP3, it also supports both online and offline modes of email access. The email message is downloaded to the user's machine only when a specific request is made to read it. Users can download mails to their computers while keeping a copy on the server. The mails on the server are the primary copy and anything changed on the local machine is updated by what is on the server.Users can also create new mailboxes which are shown as folders on the server, and move messages between folders. This feature allows access to shared and public folders.Gmail is an example of a mail server which uses IMAP protocol.




    3)SMTP (Simple Mail Transfer Protocol):-
    SMTP is a simple, text-based protocol that works best when devices are interconnected to each other. However, SMTP protocol can only be used to send emails. Unlike POP3 and IMAP protocols, SMTP does not provide the functionality to the users to retrieve emails from the server.One of the main issues with SMTP is the lack of sender email authentication. SMTP lacks security features too and thus users get spam emails.UNIX systems and simple applications like "mailsend" make use of SMTP protocol.

    4)HTTP (Hyper Text Transfer Protocol):-

     HTTP is not used exclusively for mail transfer, but it plays a vital part for users who use Internet browsers for accessing their mails (both for sending and receiving).Hotmail and Yahoo! use HTTP protocol for accessing emails through the Internet.

    What is cc: and bcc: in email?

    Hello friends, cc:(carbon copy) made it possible to send the same letter to two different people without write or type it twice.A carbon copy of the message is also sent to all the addresses listed in the Cc: field.we can write  more than one email address in this field, and they all get a copy. To enter more than one address in the Cc: field, we have to separet it with comma. When you send a message to more than one address using the Cc: field, both the original recipient and all the recipients of the carbon copies see the To: and Cc: fields including all the addresses in them.This means that every recipient gets to know the email addresses of all the persons that received your message.



    The long version of "Bcc" is "blind carbon copy". Bcc: is a nice and powerful tool.The Bcc: field helps you deal with the problems created by Cc:.  a copy of the message goes to every single email address appearing in the Bcc: field.The difference is that neither the Bcc: field itself nor the email addresses in it appear in any of the copies (and not in the message sent to the person in the To: field either).The only recipient address that will be visible to all recipients is the one in the To: field.

    What Is Mail Merge?

    A mail merge is a capability of database software, word processors, and some e-mail programs that takes a standard form and formats that form with unique fields such as e-mail address, name, address, phone number, or other personal information to make the message look unique. For example, a standard form may look like the below example.



    [address]


    Dear [username],


    We would like to thank you [username] for purchasing our product.


    Sincerely,
    Some company



    With a program capable of mail merge, the program would pull the personal information and place the appropriate information into the above fields. So the above form may look like:



    1234 some street
    City, State Zip


    Dear Bob Smith,


    We would like to thank you Bob Smith for purchasing our product.


    Sincerely,
    Some company

    Create a Windows e-mail Shortcut

    If you have a friend, family member, or co-work that you often e-mail creating an e-mail shortcut link on your Desktop or Taskbar can be a quick and easy way to e-mail them. To create an e-mail shortcut follow the below steps.

    1. Right-click the Desktop or area you want to create the e-mail shortcut and select New and then Shortcut.

    2. For the location or path to the shortcut enter mailto:friend@example.com where friend@example.com is the e-mail address you want to use in the shortcut
    .

    3. Click Next and then type the name of the Shortcut and click Finish.
    Now when this shortcut is clicked a new e-mail window will appear with that e-mail address already typed into the To field.
